Job Title: Customer Service Representative (CSR)
Job Type: Part-Time
Reports To: Business Manager
FLSA Status: Non-Exempt [compensation based on experience]
The CSR’s role is first and foremost, to provide customer service above and beyond expectations to all clients in person, via email/text, or on the phone. The CSR also manages a variety of administrative tasks including medical records, appointments, mail and deposits to ensure quality of service and flow of the operations. They will support the business manager and medical team as needed, maintain the appearance, cleanliness, and reputation of the business.
Responsibilities will include but not limited to:
Provide friendly, quality client care to the patients and clients of Spay Neuter Vets.
Receive incoming calls, emails, ClinicHQ software communications, etc. making sure to respond/route appropriately and promptly.
Schedule appointments promptly and completely.
Check clients in - Greet clients in a professional and friendly, manner, being efficient, offering services as needed.
Discharge patients. Review charts of patients being discharged from the clinic for completeness of information. Present clients with medications, discharge instructions, and doctor notes.
Fill veterinary prescriptions completely, accurately, according to medical guidelines.
As required, enter data into the computer system, retrieve and modify computerized records. The practice management software includes, but is not limited to, such areas as reminder list of patients for periodic notifications, receipt and/or invoicing to update medical/financial records; client records, pet records, medical records; word processing to produce letters for general correspondence and special mailings to clients, etc.
Perform a variety of clerical duties, sending out mailings, cleaning, organizing reception area, type memos, correspondence, reports and other documents. Assist in the ordering, receiving, stocking and distribution of supplies.
Work well with all employees and ensure that your actions support the clinic, the veterinarians, medical team, and the practice philosophy.
Assure that all financial obligations are met by owners. Collect payment when services are rendered, including making change for cash payments, processing credit cards and getting proper identification when necessary
Assistance gathering and creating content for our social media
Assist the Business Manager with projects, tasks and other initiatives
Perform other duties as assigned
Maintain the appearance of the lobby, parking lot and desk area. Observe kennels, crates and common areas throughout the day to ensure they are kept clean and presentable to the public at all times
Participate in cleaning and disinfecting kennels, transport carriers, equipment, and facilities using appropriate cleaning products/techniques.
Take inventory and stock supplies as needed.
Participate in the cleaning, disinfecting, stocking and laundry daily
Maintain safe and sanitary conditions to include the sterilization of surgical instruments, safe handling of cleaning supplies, chemicals and equipment in compliance with safety and MSDS rules
Perform other duties as assigned.
Computer literate in a Windows & Google environment, and the ability to become proficient using clinic software and social media accounts
Ability to multitask, have keen attention to detail, and excellent organizational skills
Ability to walk, bend, stand and reach constantly during a minimum 8-hour day. Able to safely walk and handle dogs over 100lbs. Ability to lift 50lbs.
Must be a team player, have willingness to adjust schedule if operations require, and thrive in a fast-paced environment
Must provide excellent customer service in person, on the phone and via text/email. Clear communication, written and verbal, with the ability to problem solve under pressure
Medical knowledge a plus, but not required
Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, and experience. The average number of hours per day is between 8-12.
